What To Expect During A Heat Pump Installation [2025]
Everything to know before you start your installation.
Heat pumps are efficient air conditioning and heating systems that are cost-effective to run, environmentally friendly, and offer a safe alternative to traditional HVAC systems. While many articles explain the benefits of heat pumps, few walk you through what it’s actually like to have one installed. At Modern Energy, we’re here to pull back the curtain and guide you through the process.
Beginning the Process
As with any HVAC system, the process starts by contacting an installer or supplier to determine the best product for your home. This typically involves discussing your home’s layout and your specific heating and cooling needs. For those in Massachusetts, your installer should also help you navigate the many available rebates and incentives.
Preliminary Check and Scheduling
This shorter visit allows a technician to assess your space and confirm that the system will be a good fit. Some may also inspect your insulation, as maintaining a comfortable temperature depends on more than just the equipment itself. Scheduling the installation may happen during this visit or over the phone, depending on the company.
Timing can vary by season: if you schedule between January and March, installation is typically about a month out. Between April and June, it may take up to three months, depending on demand in your area.
Installation Steps
When your installation date arrives, the process generally takes several days. We've broken it down into eight key steps. While most follow this general sequence, some steps may happen concurrently depending on the crew and home layout.
1. Preparation and Walk-Through
Usually done ahead of the installation, this step familiarizes the installer with your home and determines if any special equipment is needed. This is especially important for ducted systems, which require a wider variety of parts compared to ductless mini-splits, which are more standardized.
2. Equipment Arrival
This marks the official start of installation. Your new system and equipment are delivered and brought to the installation site, such as an attic or basement.
3. Preliminary Electrical and Duct Work
The team begins prepping the space—cutting supply registers, prepping ductwork, and drilling for refrigerant and condensate lines. This stage can involve several technicians working in different areas of the home.
4. Connecting Refrigerant to the Air Handler
The indoor air handler is mounted inside your home. Refrigerant lines, the condensate drain, and electrical connections are run between the air handler and the mini-split system. These are not yet connected to the outdoor condenser at this stage.
5. Final Ductwork
The duct system is completed and connected to the heat pump. If necessary, old ducts are replaced with new ones.
6. Outdoor Condenser and Final Electrical Work
The outdoor condenser is securely mounted—typically on the side of your home to reduce the chance of debris buildup. The electrical and refrigerant connections are completed, and all lines are properly covered or concealed.
7. Testing and Quality Checks
The system is now ready for operation. This step ensures everything is functioning properly. One key test is the pressure decay test, which checks for refrigerant leaks. Running the system for several hours—or overnight—helps confirm that everything is operating as intended.
8. Clean-Up
Once testing is complete, the crew gathers their tools and performs a final walk-through. At this point, your heat pump is fully installed and ready to go!
Installation Timeline
These estimates are based on a three-person crew working in good weather conditions:
- Ductwork, drilling, and line prep: ~3 days
- Heat pump installation: ~1 day
- System testing and calibration: ~½ day (or up to 2 days if needed)
In total, expect the installation to take about five days. Timelines may vary due to crew size, weather conditions, or equipment specifics. For the smoothest experience, we recommend scheduling in mid-spring or mid-fall, when mild temperatures make it easier to go without heating or cooling during installation.
